($17.14 to $23.35 per hour)

 

The person in this position works under the general supervision of the Building Administrator and is responsible for general administrative office support and services. This person manages daily work pressures, requiring constant concentration to a volume of work which must be completed within a limited period of time. This position requires the person to work with many different students, staff, parents, and community members and to use independent judgment and be willing to make decisions. Clerical and interpersonal relations skills are essential to perform a variety of moderately complex office functions.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

Employees in this position perform some or all of the following tasks. Other related duties as assigned.

  1. Demonstrates regular and acceptable attendance and punctuality, as set forth in Board policy.
  2. Be familiar with and adhere to all relevant Board policies, administrative regulations, and building rules.
  3. Interacts thoughtfully and courteously with students, staff, parents, and community members and resolves conflict in a professional manner.
  4. Works independently and cooperatively in teams with other staff members and students.
  5. Attends staff meetings.
  6. Attends in-service and workshop trainings; applying training to instructional responsibilities.
  7. Completes required mandatory trainings.
  8. Completes appropriate logs, forms and paperwork, as
  9. Reports safety, sanitary and fire hazards immediately to
  10. Reports issues to authorities as necessary, animal control, suspicious activity
  11. Operates and troubleshoots office machinery (copy, fax, postage meter, etc.).
  12. Proficient in Word, Excel spreadsheets, Google, and the use of other office equipment, such as computers, calculators, copy equipment, mail machines, etc.
  13. Prepares and processes documents and reports requiring familiarity of program subject matter knowledge with accuracy and expediency (i.e., attendance and truancy reports, behavior reports, etc.).
  14. Types correspondence, reports, and other documents; may compose correspondence according to general instructions; performs word processing tasks.
  15. May serve as receptionist; responding to routine inquiries for information; and routing calls to other individuals or departments for response.
  16. Schedules conferences and programs, as required, including creating schedules, contacting all invited parties, preparing confirmation, and distributing materials to all parties (teachers, specialists, parents, etc.).
  17. Performs a variety of photocopying duties.
  18. Organizes and distributes mail, including confidential mail.
  19. Monitors supply usage and assists in comprising necessary supply orders.
  20. Maintains current first aid/CPR certification and performs first aid duties, when requited.
  21. Communicates clearly and concisely, both orally and in writing.
  22. Maintains student/parent/staff confidentiality.
  23. Works independently under pressure with numerous interruptions to prioritize tasks to meet deadlines while maintaining a high degree of accuracy and attention to detail.
  24. Organizes some school events and community outreach.
  25. Records and tracks attendance, runs attendance reports, updates parent information in student information systems, calls parents daily to report unexcused absences and tardies, generates and processes truancy letters.
  26. Effectively manages the health room, including medication prescribed to students, accident report forms, first aid supplies, supplies basic first aid, as necessary, and communicates with home regarding health-related topics.
  27. Follows health management plans, accident protocols, and required documentation.
  28. Assists in maintaining immunization records and exemptions.
  29. Makes follow-up calls for chronically absent students.
  30. Facilitates student volunteers from other schools.
  31. Facilitates and manages locker assignments.
  32. May serve as a committee member on the building Crisis Intervention Team.
  33. Performs related duties consistent with job descriptions and assignment.

DISTINGUISHING CHARACTERISTICS

  1. Registers students.
  2. Processes registration documents.
  3. Manages and maintains student records; creates files per District guidelines.
  4. Working knowledge of state laws regarding CUM and PERM files.
  5. Generates transcripts, gathers files, and sends to schools, per state law.
  6. Liaison between school districts for both incoming and outgoing students.
  7. Notifies appropriate staff regarding student needs (i.e., SPED/IEP/504/TAG).
  8. Assists with data entry for scheduling.
  9. Generates progress reports, report cards, and correspondence related to grading.
  10. Generates awards based on academics for each trimester.
  11. Manages athletic calendar, athletic registration, and impact test software programs.

QUALIFICATIONS

  • Education and/or Experience: High school diploma or General Education Diploma (GED) and related experience in typing, general clerical training, and/or equivalent combination of education and experience. Ability to accurately enter and retrieve computerized data. Prior successful experience working in a school setting or clerical position strongly preferred.

Ability to read and interpret documents such as safety rules, IEPs, lesson plans, data, memos, e-mails, operating and maintenance instructions, procedure manuals, and governmental regulations. Ability to write routine reports and correspondence. Ability to speak effectively to diverse groups.
  • Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute and apply rate, ratio, and percent to practical situation. Ability to draw and interpret a variety of graphs.
  • Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, schedule, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
  • Computer Skills: General knowledge of computer usage and ability to use, e-mail, internet software, word processing software, and computer programs used by the District. Ability to type accurately and proficiently.
  • Other Skills and Abilities: Ability to appropriately communicate with students, teachers, parents, and members of the community. Ability to meet timelines and exercise good judgment while working in a dynamic environment.
  • Certificates, Licenses, Registrations: Certificates as determined by the District, including meeting current highly qualified requirements under the reauthorized ESEA. Ability to obtain a valid CPR/First Aid card. Participate in bloodborne pathogen training, and blood spill training annually.

Instructional Assistant III - 1.0-Hr/Day

($15.68 to $21.37 per hour) 

 

The person in this position is supervised by the building administrator and may work in a number of settings including Special Education classrooms and the regular education classroom.  This person will work with students in groups, and with individuals, providing academic and behavioral support to students.  Responsibilities and tasks will include working with students to provide support in academic areas both in the mainstream and SPED classroom settings.  Other duties may include preparing materials, providing general supervision at lunch and passing times, and other duties as assigned.

  2. Observing students and assisting in recording student development and progress; informing supervisor of any unusual academic or disciplinary problems.
  3. Training and assisting students in behavior management; providing education regarding appropriate interpersonal actions; responds to discipline problems; act as a role model.
  4. Preparing materials related to area of assignment; copies materials; develops visual aids, certificates and charts; and collects and distributes supplies and equipment.
  5. Supervising students before, during and after school on the playground, in the hallways or on entering or leaving the classroom.
  6. May perform duties in a library; assists students with locating books; reads stories to students.
  7. Operating a computer to take attendance and to do basic data entry assignments.
  8. Oversees and supervises students during classroom activities in a variety of school settings, on field trips, at lunch and recess, ensuring safety and security at all times.
  9. Maintains a safe and secure environment for students at all times.
  10. Maintains discipline in the absence of the teacher.
  11. Evaluates student injuries, determines course of action, performs minor first aid and completes required paperwork in compliance with Board Policy.
  12. Assist with daily attendance, registration, bus lists, referrals, and enrollment records.

SUPERVISION

Instructional assistance is provided under the professional guidance of a teacher who is responsible for discussing and preparing lesson plans and approving instructional techniques.  Administrative supervision and evaluation is provided by the building principal or other administrative supervisor. 

 

QUALIFICATIONS
